After reading a very enlightening article from HR Magazine stating that ‘UK workers spend almost 80 working days per year on administrative tasks, I felt the need to uncover how technology can aid this issue and so this blog begins… The research uncovered that office workers spend a gobsmacking  636.6 hours a year completing administrative or repetitive tasks, which amounts to nearly one-third of the working year which really is unthinkable!

So, it’s any wonder anybody actually manages to get to the really important aspects of their job, the strategy and direction, managing their people, developing talent, motivating employees…the list goes on…You can only imagine what this means in monetary terms!

Now there’s obviously various different ways time can be saved, including time management efficiencies, organising your day into chunks and settings tasks for specific times etc.. However, technology can really help when it comes to completing repetitive administration tasks and what’s more, let’s add-on self-service to the equation and you’ve immediately gained yourself hours of extra time each week, perhaps even each day!

Now, of course, we’re in the HR space and so I’m going to talk shamelessly about our product, but there are many different sectors whereby technology solutions and a little more organisation can win you back those precious hours.

As an HR Director, Manager or Administrator, how much of your time is spent chasing employees for information, forms, appraisals? Do you ever really feel like you’re not chasing your tail? Are you able to really take the time out to concentrate on employee engagement, succession planning, reward etc, etc? I’m guessing 90% of you are answering ‘no’ across the board here.

So how would it actually feel to have the time to do this and not have the frustrations of spending your days bugging everyone for paperwork they’ve not completed? Instead, your internal customers can hop onto a system and complete the information themselves with the ‘onus’ on them. Processes are instead automated and as all information is within one solution, there are no manual paper processes involved. And of course, this means you have real-time data at your fingertips and this ultimately means that when that all important board report is due, it can be processed at a click of a button.

Of course the initial cost of software can be daunting, however, this is a short-sighted view and we must think in terms of long-term ROI. To give you examples, here are some figures from some of our customers demonstrating how they’ve improved their processes and saved time by utilising our system.

So, looking at the above examples and bear in mind, these are only a few examples, really puts into perspective just how inefficient businesses can be without the help of new technology.

In a final excerpt from the article published by HR Magazine, Stephan Sieber, CEO of Unit4, finishes: “Organisations will need to make changes to become more productive. We commissioned the research to understand the views of workers on how adopting new technology to help automate non-value add tasks could help them be more productive.

To compete effectively for talent in the future service organisations will need to make systems automated and self-driving to ensure productivity, but also to help younger workers better engage at work by delivering them a similar experience to what they are used to at home. This will help them to feel they are spending their time on the right things; on their primary work and being effective.”

He warned of the dangers of inaction. “Left unchanged the situation could be crippling for business, particularly services organisations that rely on the strengths and output of their people,” he said.
